Reports To: Director – Code Enforcement
FLSA: Non-Exempt
General Summary:
Provides administrative support to faculty and administrative staff, including appointments, correspondence, manuscripts, data compilation, records maintenance and filing. Performs a variety of accounting activities, computes classifies, records and reconciles transactions into the department’s financial accounting system.
Position Responsibilities (include but are not limited to the following):
- Completes and processes payroll documents
- Uses various software applications, such as spreadsheets and relational databases to assemble, manipulate and/or format data for reporting purposes
- Maintains records through filing, retrieval, retention, storage, compilation, coding updating and destruction
- Records and classifies accounting transactions
- Responds to inquiries, by checking accounting transactions to locate and resolve discrepancies
- Answers and screens incoming phone calls, relays messages as needed and greets customers
- Directly dispatches code enforcement officers to urgent calls
- Opens, sorts and screens mail
- Completes various request forms for office supplies and equipment as directed
- Orders, organizes and disperses office supplies

- Working ability to prioritize assignments.
- Considerable ability to work well with others.
- Excellent organization skills.
- Working ability to solve problems.
- Working knowledge of Microsoft Office.
- Must be able to use standard office equipment such as copier, fax and calculating machines
- Good written and oral communication skills.
- Detail Oriented
Minimum Qualifications:
Education/Training: High School Diploma or Equivalent.
Experience: 1 year office experience required, 2+ years preferred
Working Conditions: Office setting.
Physical Requirements:
- Ability to sit for extended periods of time.
- Finger dexterity required to manipulate objects and use a keyboard.
- Ability to see within normal parameters.
- Ability to hear within normal range.
- Ability to extend hand(s) and arm(s).
