Department: Transit Utility
Reports To: Transportation Director
FLSA: Exempt
Position Responsibilities (include but are not limited to the following):
- Maintains office supplies.
- Maintains personnel files.
- Sorts all incoming mail and distributes; and prepares outgoing mail.
- Dispatches buses as necessary.
- Distributes and collects money for fourteen-ride tickets and monthly bus passes.
- Types corresponding letters and memorandums.
- Answering incoming phone calls and greets customers.
- Processes accounts payable vouchers and ensure balances do not exceed established budgets.
- Ensures employees are in compliance with Substance Abuse policy.
- Generates reports for fixed routes and maintains the count of ridership.
- Determines eligibility for ADA requirements and distributes ADA van documentation.
- Prepares federal and state grant applications and reports.
- Supervisors two employees; i.e., bookkeeper and dispatcher.
Knowledge, Skills, and Abilities Required:
- Considerable knowledge of policies, procedures, and practices that impact the department.
- Considerable ability to work well with others, and to assist others cooperatively and courteously.
- Considerable ability to lead and influence others.
- Working knowledge of DOT regulations.
- Considerable knowledge of Microsoft Office.
- Working knowledge of TEAM software.
- Considerable ability to answer multiply phone lines.
- Considerable ability to prioritize assignments.
- Excellent organizational skills.
- Working ability to operate standard office equipment.
- Good written and oral communication skills.
- Detailed oriented.
- Considerable ability to solve problems.
Minimum Qualifications:
Education/Training: High School Diploma or Equivalent. Preferably a business-related associates degree.
Experience: 2 years clerical experience. Proficient with Microsoft Office and Outlook.
Working Conditions: Office setting.
Physical Requirements:
- Ability to sit for extended periods of time.
- Finger dexterity required to manipulate objects and use a keyboard.
- Ability to see within normal parameters.
- Ability to hear within normal range.
Ability to extend hand(s) and arm(s).
